There are many ways to help with the Woodbury Middle School PTO. We realize families are busy, but the old adage is so true – many hands make light work. So, please consider stepping up into one of these important roles. Volunteer Descriptions & Needs for this year

URGENT CHAIR NEEDS FOR THIS YEAR are designated by green-colored boxes. Details on needs can be found at end of each section in italics.

Book Fairs

  • We sponsor Scholastic Book Fairs.
  • When: Spring Book Fair (about one week) and a Buy-One-Get-One (BOGO) fair in May
  • Occurrence: Twice
  • Time Commitment: About 10-15 hours
  • 2020-2021 CHAIR NEEDS: 2 needed
  • 2020-2021 GENERAL VOLUNTEERS: Will be needed and emails will be sent for volunteers to work at our Book Fairs.

Box/Coke Top Committee

  • Our school collects different labels/tops from companies that then donate funds to our school. Once teachers collect the labels, they need to be sorted, counted, and mailed to the companies.
  • When: November and April or May
  • Time Commitment: About 5-10 hours a year
  • Occurrence: Twice – Fall and Spring Competitions
  • 2020-2021 CHAIR NEEDS: 2 needed

Culver’s Night Coordinator

  • As a way to build a stronger WMS community and raise funds, we host Families Nights at local restaurants.
  • When: Once a month during the school year
  • Time Commitment: About 2-3 hours a month
  • Occurrence: 8 times
  • 2020-2021 CHAIR NEEDS: None (we have one)

Fundraiser Coordinator

  • We raise funds throughout the year to provide support to the teachers, help build community within our school, and pay for little extras that enhance our students school life.
  • When: One big fundraiser in the Fall
  • Time Commitment: 10-15 hours in the Fall
  • Occurrence: once
  • 2020-2021 CHAIR NEEDS: 1 needed (or could be a job shared between two people)
  • 2020-2021 GENERAL VOLUNTEERS: We need families to help sell product.

Members

  • We need your input! PTO Members who attend the monthly meetings decide how we fundraise and how we use all funds collected.
  • When: Once a month during the school year
  • Time Commitment: 1 hour a month
  • Occurrence: 8 times
  • 2020-2021 GENERAL VOLUNTEERS: Attend meetings!

Pizza Bingo Coordinators

  • Coordinate a community event that includes pizza and bingo for staff, students and their families
  • When: September thru event date (usually late January/early February)
  • Time Commitment: Significant.  Recommend 2-3 individuals to chair the event and distribute workload
  • Occurrence:  Every other school year
  • 2020-2021 CHAIR NEEDS: 2-3 needed
  • 2020-2021 GENERAL VOLUNTEERS: Will be needed and emails will be sent for volunteers to work.

Planters

  • Parents design and plant flowers in the pots outside the front doors of our school.
  • When: Late Summer, late Fall, and early Spring
  • Occurrence: Three times
  • 2020-2021 CHAIR NEEDS: None (we have one)
  • GENERAL VOLUNTEERS: Help chair plant flowers!

Social Media Manager

  • The PTO wants to share their PTO sponsored events with families. We need someone to manage our Facebook page and any other social media channels.
  • When: couple times a week
  • Time commitment: 2-3 hours a month
  • Occurrence: Throughout the school year
  • 2020-2021 CHAIR NEEDS: One needed

Staff Appreciation

  • PTO helps support our staff by providing a meal during conferences.
  • When: Fall and Spring Conferences (other dates are optional)
  • Time Commitment: about 10 hours a year
  • Occurrence: Twice
  • 2020-2021 CHAIR NEEDS: 1-2 needed
  • 2020-2021 GENERAL VOLUNTEERS: Will be needed and emails will be sent for volunteers.

Student Appreciation

  • Organize and run events such as serving popcorn or popsicles during student’s lunch to boost student morale.
  • When: Once per Trimester
  • Time Commitment: 6-7 hours per year
  • Occurrence: Three times per year
  • 2020-2021 CHAIR NEEDS: 1-2 needed
  • 2020-2021 GENERAL VOLUNTEERS: If needed, we will email.

Volunteer Coordinator

  • Create SignUp Genius pages for the different volunteer events that the PTO sponsors.
  • When: Throughout the school year
  • Time Commitment: 5 hours
  • Occurrence: 4 or 5 times a year
  • 2020-2021 CHAIR NEEDS: 1 needed

Web Site Administrator

  • Our website needs to be updated and maintained throughout the school year.
  • When: Independent
  • Time Commitment: 10-15 hours per year
  • 2020-2021 CHAIR NEEDS: None (we have one)



Board Member Job Descriptions & Need for next year

President

  • The President shall prepare the meeting agenda, preside over meetings of the organization and Executive Board, serve as the primary contact for the principal, may represent the organization at meetings outside the organization, may serve as an ex officio member of all committees except a nominating committee, and coordinate the work of all the officers and committees so that the purpose of the organization is served.
  • One year commitment.
  • 2020-2021 NEEDS: None (we have one)

President Elect

  • The President Elect shall serve as an understudy to the President, being included in all the President’s duties to learn, assist and carry out the President’s duties in the President’s absence or inability to serve. 
  • 2 year total commitment – One year commitment in President Elect role with a second year commitment in President role.  
  • NEEDED FOR 2020-2021 SCHOOL YEAR

Secretary

  • The Secretary shall keep all records of the organization, take and record minutes, handle correspondence, and send notices of meetings to the membership as requested by other officers. The Secretary also keep a copy of the minute’s book, bylaws, rules, membership list, and other necessary supplies, and brings them to meetings.
  • One year commitment.
  • 2020-2021 NEEDS: None (we have one)

Treasurer

  • The Treasurer shall receive all funds of the organization, keep an accurate record of receipts and expenditures, and pay out funds in accordance with the approval of the membership. He or she will present a financial statement at every meeting and at other times of the year when requested by the Executive Board, and make a full report at the end of the year. 
  • One year commitment.
